Please check in before beginning setup.

Vendors should arrive on time so unloading, setup, placement, and rental-equipment distribution can be completed before the festival begins.

Vendors will receive an assigned location based on the official vendor placement map.

Please set up only in the space assigned to you.

Do not exchange, move, or expand your assigned space without approval from event staff.

Special placement requests are not guaranteed and must be approved by the organizers.

Vendors may enter the event area during the approved setup period to unload.

All vehicles must be removed from the event area by 11:00 AM.

Vendors are responsible for finding street parking after unloading.

A limited number of nearby parking spaces may be available on a first-come, first-served basis.

Do not leave vehicles inside the event area after the unloading period.

Standard vendor registration covers one assigned 10×10 vendor space.

A tent, table, and chairs are not included unless they were selected and paid for separately.

Vendors may bring their own tent, table, and chairs.

Rental tents, tables, and chairs will be placed according to the official vendor map.

Vendors who rented equipment may be required to leave a valid driver's license until all rented items have been returned and verified.

All food vendors must have the required permits and certificates.

Required documents include:

  • DOHMH Temporary Food Service Establishment Permit
  • Valid NYC Department of Health Food Protection Certificate

Food vendors must keep all required permits and certificates available on-site during the event.

Vendors are responsible for complying with all applicable NYC health, food-service, and safety requirements.

Grilling is permitted when the grill has a lid and all event and FDNY safety requirements are followed.

Burners must be fully wrapped in aluminum foil.

If charcoal is used, the vendor must remove all ashes from the event site.

Styrofoam plates are prohibited. Vendors must use eco-friendly alternatives.

Vendors using cooking fuel or generators must bring all required approved equipment.

Minimum fire extinguisher
20:B-C portable fire extinguisher, properly maintained, with a current inspection tag.

Propane may be used for approved portable outdoor cooking equipment when all FDNY requirements are met.

A qualified G-23 Certificate of Fitness holder must supervise propane use when required.

Note: A propane-cylinder weight limit will be confirmed by the organizers before event day.

There is an additional $50 fee for gasoline or propane use.

This fee applies to:

  • Generators
  • Cooking fuel

Vendors must provide their own approved generator when needed.

Electricity will not be supplied unless specifically confirmed in writing.

All fuel, propane, and generator use must comply with event and FDNY requirements.

Vendors must complete setup before the festival begins at 12:00 PM.

All tents, tables, displays, products, signs, and equipment must remain inside the assigned space.

Vendors should bring all required setup materials, including:

  • Tent weights
  • Trash bags
  • Cleaning supplies
  • Broom
  • Required permits
  • Fire extinguisher
  • Weather protection
  • Approved cooking or generator equipment, if applicable

Do not block walkways, emergency access, neighboring booths, or street intersections.

Vendors may begin breaking down between 5:00 PM and 5:30 PM.

All vendors must be completely packed by 6:00 PM.

Do not begin packing before the approved breakdown period unless instructed by event staff.

Vehicles may only re-enter when staff confirms that it is safe.

Every vendor must completely clean their assigned area before leaving.

Vendors must:

  • Remove all trash
  • Remove all products and equipment
  • Remove charcoal ashes
  • Sweep the assigned space
  • Return all rented equipment
  • Leave nothing behind

Vendors who leave trash, equipment, ashes, or other materials may be documented as violating event rules and may receive a fine or be denied participation in future events.

All rented tents, tables, chairs, and other equipment must be returned before leaving.

Vendors who provided a valid driver's license for equipment rental will receive it back after all rental items have been returned and verified.

Do not leave the event without completing the rental-return process.

  • Arrive by 9:30 AM
  • Check in near 144th Street
  • Remove all vehicles by 11:00 AM
  • Complete setup before 12:00 PM
  • Stay within your assigned vendor space
  • Keep required permits available
  • Follow all cooking and fire-safety rules
  • Begin breakdown no earlier than 5:00 PM
  • Be fully packed by 6:00 PM
  • Remove all trash and leave your space clean
